Cold email agency · B2B appointment setting

A cold email agency that books qualified B2B meetings — not just sends emails.

Hetoli Marketing's cold email outreach service is a fully done-for-you appointment setting solution. We build the infrastructure, source the prospects, write the copy, run the sequences, triage replies, and put qualified meetings on your calendar. You pay $1,500/month base plus just $50 per qualified meeting booked.

What is a cold email agency, exactly?

A cold email agency is a specialized outsourced B2B sales team that handles the full outbound email process on your behalf. Instead of hiring SDRs, buying email tools, sourcing lead lists, and managing deliverability in-house, you hire one agency to run the whole motion — from cold prospect to qualified meeting on your calendar.

At Hetoli Marketing, our cold email outreach service covers everything you need to generate qualified B2B meetings at scale:

  • Domain research, purchase, and DNS configuration (SPF, DKIM, DMARC)
  • Sending inbox setup, warm-up, and ongoing deliverability monitoring
  • ICP-matched B2B prospect list sourcing and verification
  • Cold email copywriting, A/B testing, and personalization
  • Multi-step sequence design and ongoing optimization
  • Reply triage — qualified leads forwarded to your inbox
  • Monthly performance reporting and strategy review

The deliverable is simple: qualified meetings booked on your calendar. Not vanity metrics. Not "emails sent." Not open rates. Real prospects who match your ICP, said yes to a meeting, and showed up.

Who we're a fit for

Our cold email agency works best with B2B companies that have:

  • Average contract value of $5,000+ — cold email economics work best when each meeting represents real revenue potential.
  • A defined ICP — you know who buys your product, what their title is, and what their company looks like.
  • A real sales motion — someone on your team can take qualified meetings and close them.
  • Patience for 30–60 days — cold email needs warm-up time. Anyone promising "leads tomorrow" is going to burn your domain.

If that's you, our B2B appointment setting service can dramatically scale your outbound pipeline without the cost of building an SDR team in-house.

Common clients include B2B SaaS companies, marketing agencies, consulting firms, professional services, and enterprise software vendors.

What's included

Everything our cold email agency handles for you.

Most cold email tools give you software and a steep learning curve. We give you the entire B2B outbound function — built, run, and optimized by experts.

01Infrastructure

Sending domain & inbox setup

We purchase secondary domains so we never touch your primary domain's reputation. We configure DNS records (SPF, DKIM, DMARC), set up sending inboxes across multiple providers, and run a 14-day warm-up sequence to establish sender reputation. As many domains and inboxes as your volume requires — no caps.

02Prospects

B2B prospect list sourcing & verification

We source verified B2B prospects matching your exact ICP — title, company size, industry, geography, tech stack, funding stage, and any other filters that matter. Every email is verified for deliverability before we send. We can pull from LinkedIn Sales Navigator, Apollo, ZoomInfo, Clearbit, and proprietary data sources.

03Copy

Email copywriting & personalization

Our copywriters draft cold email sequences tailored to your offer, ICP, and value proposition. We use first-line personalization at scale, A/B test subject lines and body copy, and iterate weekly based on reply data. Most clients run 3–5 sequence variants in parallel to find what resonates.

04Sequences

Multi-step sequence orchestration

Cold emails rarely book meetings on the first send. We design 4–6 step follow-up sequences with carefully spaced sends, varied angles, and intent-aware drop-off logic. Sequences run automatically across your entire prospect database, with replies pulling individual contacts out of the flow.

05Deliverability

Deliverability monitoring & protection

We track inbox placement rates, spam-folder rates, blacklist signals, and reputation scores daily. If an inbox starts degrading, we rotate it out. If a domain hits a blacklist, we pause and investigate. This is the work that separates a cold email agency from a mass-mailer.

06Triage

Reply triage & qualification

All replies route to a shared inbox we monitor. Our team reads every response, classifies it (qualified, not-now, not-interested, out-of-office, unsubscribe), and only forwards qualified leads to your inbox — usually with the calendar invite already sent. You only see the people who said yes.

07Reporting

Monthly strategy review & analytics

Every month we deliver a performance report (emails sent, reply rate, meetings booked, CPL trend) and meet with you for a 30-minute strategy call. We discuss what's working, what we're testing next, and any ICP or messaging adjustments. This is included — not an upsell.

08Compliance

CAN-SPAM, GDPR & CASL compliance

We handle compliance by default. Every email includes proper sender identification and a clear unsubscribe. We respect opt-outs immediately, follow GDPR consent rules for EU prospects, and apply CASL standards for Canadian targeting. This is your legal protection — not just a checkbox.

14-day launch timeline

From kickoff to first send in two weeks.

Cold email needs time to do right. Inbox warm-up isn't optional. Here's what actually happens from the moment you sign on.

Days 1–3 / Kickoff

Days 3–10 / Setup

Sending domains purchased, DNS configured, inboxes created and warmed. Prospect list sourced and verified. First copy variants drafted and approved.

Days 10–14 / Pre-launch

Sequences staged

Sequences built, personalization fields populated, sending schedule configured, monitoring dashboards set up. Final approval call before launch.

Day 14+ / Launch

First batch of cold emails goes out. We monitor deliverability hourly for the first week. First qualified meetings typically book in week 3.

Cold email agency pricing

Simple performance-based pricing. No surprise fees.

Most cold email agencies charge $2,500 to $8,000 per month flat — whether they book meetings or not. Hetoli Marketing charges a smaller base, plus a small fee per qualified meeting. We make more when you make more.

Outreach Engine — Cold Email Agency
$1,500
/ month base retainer
+ $50 per qualified meeting booked

What's included in the $1,500/month base

  • All sending infrastructure (unlimited domains, inboxes, warm-up)
  • Targeted B2B prospect lists matching your exact ICP — no volume cap
  • Copy, sequences, A/B testing, ongoing optimization
  • Reply triage and qualified-lead routing to your inbox
  • Daily deliverability monitoring
  • Monthly strategy review meeting and performance report
  • CAN-SPAM, GDPR, and CASL compliance handled
  • Dedicated account manager + Slack/email support

Per-qualified-meeting fee

You pay $50 per qualified meeting booked. A qualified meeting is one where the prospect matches your ICP, replies expressing interest, accepts a calendar invite, and shows up. You have 48 hours after each meeting to dispute. We never charge for no-shows or unqualified leads.

Minimum commitment is 90 days, then month-to-month with 30 days' notice. The 90-day floor isn't a sales tactic — deliverability and learning loops genuinely take that long to mature.

Cold email FAQ

Cold email agency FAQ.

Cold email scales better than cold calling because one operator can send thousands of emails per day, whereas one SDR can make maybe 60 calls per day. It's typically more cost-effective than LinkedIn outreach because LinkedIn caps your daily outbound activity to avoid account bans. Most B2B companies run all three — but cold email usually delivers the highest volume of qualified meetings per dollar spent.
If we book zero qualified meetings in a given month, you only owe the $1,500 base retainer. The performance fee is purely upside. That said, in 87 client engagements we've never had a client month with zero qualified meetings booked — by month two, every client has hit a steady weekly meeting flow.
Yes — and many companies do. The trade-off is time and expertise. A cold email tool gives you software; running a successful campaign requires expertise in deliverability, list quality, copywriting, sequence design, and reply handling. Most companies running cold email in-house spend 15–20 hours per week and still hit deliverability problems. Our cold email agency exists to remove that operational burden.
No — and any cold email agency that does is lying. Meeting volume depends on ICP size, offer strength, market timing, and copy resonance. What we can promise is performance-based pricing — if we don't book meetings, you don't pay the per-meeting fee. Most clients see 8–25 qualified meetings per month after the ramp period.
No. We use secondary sending domains we purchase specifically for outbound — your primary domain is never touched. If a secondary domain experiences deliverability issues, we rotate it out without affecting your main email infrastructure.
B2B cold email is legal in most jurisdictions when done correctly. In the United States, CAN-SPAM applies — we comply by including sender identification and a clear unsubscribe in every email. In Europe, GDPR requires legitimate-interest justification for B2B prospect contact — we comply by targeting only relevant business roles. In Canada, CASL is stricter — we either get express consent first or rely on implied consent based on existing business relationships.
